SPES JSM Program Chair-Elect

Purpose

The SPES Program Chair-Elect is responsible for organizing and coordinating Roundtable Luncheons and any other discussion-group-type sessions in accordance with current ASA/JSM policy; for coordinating and selecting student scholarships these sessions; and for assisting the SPES Program Chair as needed. The Program Chair-Elect is also a Program Chair-in-Training.

Term of Office

The elected term of the SPES Program Chair-Elect is one year beginning at the end of the JSM in the year of the election. The SPES Program Chair-Elect serves in this role for one year, becoming the SPES Program Chair at the end of the subsequent JSM.

Responsibilities

  • Organize Roundtable Luncheons and other Discussion Groups:
    1. Identify topics and potential hosts for the topics. (Popular-level topics are better for this format than deep research topics.)
    2. Contact and confirm hosts, and ask them to submit session titles and abstracts online. Abstracts should be appealing --- they serve as the advertisement for the session! We have had four luncheons in the past; this does not appear to be fixed. The most limiting factor is financial: how many hosts' lunches can we afford?
    3. Arrange for scheduling at ASA's prompting.
    4. Advertise these sessions in the SPES Newsletter, the SPES Website, SPES Mailing List, and in the allocated section space in AMSTAT News (Coordinate with Publicity Officer).

  • Coordinate and Select Student Scholarships: SPES offers student scholarships covering the cost of a roundtable luncheon at the JSM.
    1. Advertise the availability of these scholarships in all of the same places mentioned above, as well as whatever list is available for academic institutions.
    2. Gather applications, including name, top two luncheon choices with reasons for choosing them, and a signature from the advisor confirming student status. (These need to be faxed or mailed to accommodate the advisors' signatures.)
    3. Select winners and inform all applicants. We have done 6 winners in the past, but this may not be fixed. Confirm with the treasurer how many the section can afford.
    4. Arrange with winners to contact the ASA office to register for the luncheons. The ASA office will transfer the scholarship funds out of our account. They do not want the students to register individually and have to do paper reimbursements.

  • Begin Preparing the Invited Program for the Following Year's Meetings: The preparation of the Invited portion of the program in the year for which the officer is elected Program Chair actually begins while the officer is still Program Chair-Elect. See the Program Chair's description for details of the Invited program.

Additional Activities (Desirable, not Mandatory)

  • Attend SPES Section Executive Committee meetings at the JSM in August and the Fall Technical Conference in October of each year.
  • Participate in planning for the Section by contributing ideas via letter and/or attending planning meetings.
  • Contribute articles to newsletters.

Qualifications

  • Must be a member of SPES.
  • Must be able to commit the time and resources needed to carry out the duties described above.
  • Must be able to attend the two JSMs as Program Chair-Elect and Program Chair

The SPES Program Chair is elected by the members of the Section on Physical and Engineering Sciences.
