SPES Program Chair

Purpose

The SPES Program Chair is responsible for organizing and coordinating Invited Paper Sessions, Contributed Paper Sessions, Special Contributed Paper Sessions, Poster Contributed Sessions and Roundtable Contributed Discussion Groups for the Section on Physical and Engineering Sciences at the annual Joint Statistical Meetings (JSM).

Term of Office

The elected term of the SPES Program Chair is one year beginning at the end of the JSM for the year preceding that for which the office is elected, and ending at the conclusion of the JSM. During the previous year as Program Chair Elect, the officer is responsible for assisting the program chair and for organizing the Roundtable Contributed Discussion Groups and Luncheons. There is no time limit to the number of times a person can be elected SPES Program Chair.

Responsibilities

  • Organize Invited Paper Sessions and Special Contributed Paper Sessions:
    1. Select invited sessions and special contributed sessions from the Invited Paper’s Call for Paper submissions, informal submissions, suggestions from the SPES officer’s committee, sessions coordinated with other section program chairs, or your own selection process.
    2. Work with the JSM Program Committee to arrange the number and times of the Invited Paper Sessions and Special Contributed Paper Sessions.
    3. Coordinate with the session chairpersons to meet all deadlines, reporting requirements, and any special travel arrangements.
    4. Coordinate SPES related sessions into the overall JSM Program by communicating with organizers of the Chemometrics Invited Session, the Technometrics Invited Session, and the SPES Distinguished Lecturer Series.
    5. Submit announcements as needed (Call for Papers, Program Schedule, etc.) for publication in AmStat? News and SPES Newsletter.

  • Organize Contributed Paper Sessions and Poster Contributed Paper Sessions
    1. Arrange the Call for Paper submissions into sessions with common themes.
    2. Selected the chairpersons for the Contributed Paper Sessions.
    3. Communicate with chairpersons of Contributed Paper Sessions and facilitate interactions between them and their speakers to meet all deadlines, reporting requirements, and any special travel arrangements, (e.g., send tentative list of session speakers to chairpersons soon after JSM planning meeting in February).

  • Organize Roundtable Contributed Discussion Groups
    1. Work with the SPES Chair-Elect to select discussion group topics, to select discussion group leaders, to select times for the discussion groups
    2. Work with the SPES officer’s committee to arrange payments for the discussion group leaders .

Additional Activities (Desirable, not Mandatory)

  • Attend SPES Section Council meetings at the JSM in August and the Fall Technical Conference in October of each year.
  • Participate in planning for the Section by contributing ideas via letter and/or attending planning meetings.
  • Contribute articles to newsletters.

Qualifications
  • Must be a member of SPES.
  • Must be able to commit the time and resources needed to carry out the duties described above.

Calendar

  • Spring/Early Summer - Receive submissions from “Call for Invited Paper Session”, plan topics for Invited Paper Sessions.
  • August (at JSM) - Receive input from SPES Officer’s Committee. Attend SPES Executive Committee meeting to solicit input for program; meet with entire Program Committee (Thursday morning). Submit "call for papers" in SPES newsletter, SPES E-mail list, and as part of Chapter space allocation in AmStat? News.
  • October - Communicate requests from organizers of SPES related Invited Paper Sessions (Technometrics, Chemometrics, SPES Distinguished Lecture Series) to the JSM Program Chair
  • November - Finalize Invited Paper Sessions and send information to the JSM Program Chair.
  • December-January - Receive abstracts for invited paper sessions; participate in selection of invited sessions in the competition slots. Develop a list of session chairpersons for contributed paper sessions.
  • February - Final Invited Paper Session format sheets are due to the JSM Program Chair. Deadline for abstract of contributed papers, including special contributed and non-lunch roundtables. Receive abstracts for contributed papers and posters; tentatively organized papers and posters into sessions; attend planning meeting of entire Program Committee and discuss with other section program chairs the appropriate placement of abstracts into sessions; complete Contributed Paper Program (abstracts, chairpersons, time slots).
  • March - ASA deadline for (1) fully organized contributed paper sessions, (2) fully organized roundtables and other luncheons, and (3) abstracts of invited papers.
  • April - Receive draft program of JSM; proofread for errors.
  • June - Manuscript deadline for all papers and posters (invited and contributed). Contact ASA office with final program corrections and deletions (those who have not submitted papers). Contact SPES Awards chairperson and send program information so that evaluation forms can be prepared. Submit table of SPES sessions to SPES Newsletter editor so that SPES program can be published.
  • August - JSM Meeting. Check that the session chairs have arrived, that the audio-visual or other necessary equipment is in place and functioning, and that session chairs are aware of any cancellations. Ask session chairs to give you a count of those attending their session.

Election/Appointment Mechanism
The SPES Program Chair is elected by the members of the Section on Physical and Engineering Sciences.
