SPES Chair Elect
Purpose
The Chair Elect is one of the Section officers and a member of the Executive Committee, along with the Chair, Secretary/Treasurer, Past Chair, Program Chair, Program Chair-Elect, Publications Chair, and the Representative(s) to the ASA Council of Sections. The main purpose of Chair-Elect is to prepare to become Chair the following year. Secondary purposes are to preside over meetings of the Section and Executive Committee in the absence of the chair, and to perform other duties assigned to the Chair-Elect.
Term of Office
The term of the Chair Elect is one year. This term as Chair-Elect will be followed by one year as Chair, and then one year as Past-Chair.
Responsibilities
- Work closely with the Chair throughout the year to learn the duties of the Chair.
- Fill in for the Chair in any duties the Chair is unable to fulfill.
- Attend the Section Executive Committee and Business meetings at the Joint Statistical Meetings in August and the Section Executive Committee and Tactical Planning meetings at the Fall Technical Conference in October.
- Together with the Chair and Secretary/Treasurer, prepare the Section's budget for the year in which the Chair-Elect will serve as Chair.
- Serve on the Committee on Nominations (consisting of the Chair, Chair-Elect, and Chair-Elect-Elect) that nominates candidates for Section positions to be elected the following year when the Chair-Elect becomes Chair.
- Obtain a speaker for the Friday lunch program at the Fall Technical Conference during the following year when the Chair-Elect will be Chair and serve as Master of Ceremonies for the Friday lunch program. Traditionally, the Friday speaker is the President of the ASA.
- Obtain a program chair for the Fall Technical Conference for the following year or two years (depending on the rotation for the two-year position among SPES, ASQ-SD, and ASQ-CPID as covered in Section x.x.x ).
- Obtain appointees for any committee chairs or other appointed (i.e., not elected) Section positions that will become vacant during the following year when the Chair-Elect becomes Chair.
- Copy the Executive Committee members on all Section correspondence.
- Prepare "A Message from the Incoming Chair" column for the December issue of the SPES/Q&P Newsletter.
- At the end of the term of office, improve this job description and submit to incoming Chair Elect and to the Chair of the Operating Manual Committee.
Additional Activities (Desirable, not Mandatory)
- Attend the JSM meeting for Chair-Elects organized by the Council of Sections.
- In the absence of a Liaison Committee, the Chair-Elect is responsible for liaisons with other Sections of the Association and with other professional organizations.
- Arrange for Certificates of Appreciation for the outgoing Past Chair (also acknowledging service as Chair-Elect, and Chair), Secretary/Treasurer, Program Chair (also acknowledging service as Program Chair-Elect), Council of Sections Representative(s), and Publications Chair, and provide to the Chair for presentation during the FTC Friday lunch program.
- Arrange for door prizes at the Business Meeting and Mixer at the JSM.
- Work with Officers and Committee Chairs on strategic planning.
- Accept temporary assignments at the direction of the Chair. Examples would be representing the Section in interactions with ASA headquarters, serving as a member of a Standing or Current Committee, networking with other Sections or societies, or helping organize long range planning meetings.
Qualifications
- Must be a member of the Section on Physical and Engineering Sciences of ASA.
- Must be able to commit to stated responsibilities as Chair-Elect, to the Chair's responsibilities for the following year, and to the Past-Chair's responsibilities for the year after that.

Calendar
- March-July - Arrange for JSM business meeting/mixer door prizes.
- April-July - Obtain a program chair for the Fall Technical Conference for the following year or two years. Typically the FTC Program Committee (reps from SPES, ASQ-SD, and ASQ-CPID writes a Call for Papers for the following year's FTC and distributes it at the current year's JSM and FTC. Hence, the new FTC program chair must be appointed in sufficient time before the JSM.
- July-August - Assist Chair with agendas for Executive Committee and Business meetings to be held at the JSM in August.
- July-September - Serve on Nominations Committee with Chair and Chair-Elect-Elect to: identify possible candidates to run for open elective Section offices, select the final two candidates for each position, and gain their agreement to run for election.
- July-August - Write ASA President-Elect (President the following year) to invite as FTC Friday luncheon speaker. If not available, invite another speaker.
- August - Attend SPES Executive Committee, SPES Business, and COS's Chair-Elect meetings at the JSM.
- August-September - Write confirmation/thank you letter or email to ASA President-Elect (or other speaker) for following year for agreeing to speak at FTC.
- August-December - Obtain appointees for any committee chairs or other appointed (i.e., not elected)Section positions that will become vacant during the following year when the Chair-Elect becomes Chair.
- September-October - Assist Chair with agenda for Executive Committee meeting, and Past-Chair with agenda for Tactical Planning meeting to be held at the FTC in October
- October - Attend Executive Committee and Tactical Planning meetings at the FTC.
- October-November - Prepare "A Message from the Incoming Chair" for the December issue of SPES/Q&P Newsletter.
- November-December - With the Chair and Secretary/Treasurer, prepare the Section's budget for the following year (in which the Chair-Elect will serve as Chair).
- December - Improve this job description and submit to incoming Chair Elect and Chair of Operating Manual Committee.
Election/Appointment Mechanism
ASA will hold an annual Spring election at which time the Section members have the opportunity to vote for one of the two candidates for Chair-Elect. The candidate receiving the most votes immediately becomes Chair-Elect-Elect, becomes Chair Elect the following year, Chair the next year, and Past-Chair the year after that.
